MSF Spain is looking for a Finance Assistant to execute administrative and finance related tasks and follow up of project accountancy to support the Project Finance Manager following MSF standard and procedures, to ensure legal compliance and keep a strict control over monetary resources to achieve project objectives
Accountabilities
• Implementing cash management procedures to ensure the highest control and security, assisting the Project
Finance Manager in the monthly treasury forecast and planning to ensure the coverage of daily needs, ad-
vances on salaries, payroll, etc.
• Processing payments to suppliers with a firm and consistent approach towards required supporting docu-
mentation, informing the Finance Manager of any disparity.
• Carrying out all accounting tasks and activities, classifying, preparing, recording and filing of all accounting documents in the accounting software, to ensure strict control of all expenditures and the reliability of statements and documentation.
• Following up of all expiring rental contract dates and inform the Finance Manager ahead of time allowing
to consider the renewal or look for alternatives.
• Making all administrative information available to the staff (posting, meetings, etc.), supporting the Project
Finance Manager in translating documents into local language and assisting in meetings upon request.
• Any other administrative task delegated by the Project Finance Manager.
MSF Section/Context Specific Accountabilities
· Prepare all payment orders for the Finance Department, including Payroll, Daily Workers (DWs), Incentives, and Medical Expenses, and submitted them to the Project Finance Manager for validation.
· Process the payment of per diems and bus fees for IMS, as per the Project Finance Manager’s validation.
· Receive the funds from IMS entering Gaza.
· Respect the Money Security Rules - Max in the Petty cash and advances.
· Prepare the supporting documents required for regular payments, including: 1. Vehicle rentals 2. Premises and land rentals 3. Service agreements
· Update the contract follow-up tracker with new contracts and related payments.
· File and archive all documents related to the Finance Department (both hard and soft copies) in an organized manner to prevent any loss of documentation or information.
Education: Desirable finance, business or administration related diploma.
Experience: • Essential previous working experience of at least two years in relevant jobs. • Desirable experience in MSF or other NGOs in developing countries.
Languages: • Mission language (English) and local language (Arabic) essential
Knowledge: • Essential computer literacy (word, excel, internet)
