Data Entry Operator

MSF - France Doctors Without Borders

Médecins Sans Frontières is a private, non-profit international humanitarian organization dedicated to providing medical assistance to populations in crisis, without discrimination and regardless of race, religion, creed or political affiliation.

MSFF is looking for for its office/ project:Data entry operator

Workplace: Gaza Strip

Type of contract: Daily worker and Short term contract

Start date: As soon as possible

Main purpose of the position

Carry out all activities related to entry of medical data into the mission database, according to MSF protocols and maintaining confidentiality, in order to have reliable and up to date information.

Responsibilities

  • Enter medical data (e.g. patient data, dates of visit, content of prescription, viral load, etc.) in mission’s database on a regular basis and according to MSF
  • Participate in compilation of data both from MSF structures and from collaborating health facilities.​
  • Participate in the search for missing data.​
  • Update files of existing patients and make any corrections needed.​
  • Make regular back-ups of all data processed.​
  • Look after all equipment provided and keep recording area clean and tidy, giving special importance to all patient files.​
  • Report any issue concerning data management to superior​
  • Elaborate statistical reports when required by the medical team.​
Ensure, promote and maintain confidentiality regarding all information registered.

  • To respect the time schedules and be punctual regarding attendance to duties.​
  • To treat all patients with dignity and respect.​
  • To maintain good professional relationships.​
  • To keep ability working in any MSFF facility up on needs.​
  • To keep effective communication within MSF team members respecting the hierarchical and transversal way of communication through official MSF channels.​
  • To adhere a personal and professional code of conduct.​
  • To follow the standard works arrangements and procedures in all work Locations.​
Data security and confidentiality
  • To Respect Patient confidentiality and deal with Patient Records according to MSF data protection protocol.​
  • To Report for any possible breach or unusual use of patient records or medical information.​
  • Secure all MSF applications and Credentials related to Patient records and avoid sharing any of them.​
Data Validation Check.
  • To Verify the accuracy and completeness of incoming data by cross-referencing it with source documents.​
  • To Identify discrepancies or errors and collaborate with the respective teams to resolve them promptly.​
  • To Ensure adherence to data quality standards by performing periodic audits of existing databases.​
  • To Monitor for duplicate entries and ensure their removal or consolidation.​
  • To Document validation procedures and maintain a log of quality assurance processes.​
Data Aggregation
  • To Sort and organize reviewed data into the specified data groups and classification​
  • To Ensure aggregated datasets maintain consistency and accuracy throughout.​
  • To Maintain clear records of sources and methods used for aggregation for transparency and reproducibility.​
  • To Report the aggregated data on the designed forms/application.​
  • To Report the daily activities for sharing on Communication channels​
Data Encoding
  • To Enter data into Praxis or any other system according to specified coding formats.​
  • To Adhere to standardized coding conventions for Paxis in the assigned location or department.​
  • To update and maintain encoded data Regularly, to reflect changes or corrections.​
  • To Validate the encoded data to ensure it aligns with predefined guidelines.​
  • To Create and maintain a reference guide for coding standards and practices.​
Reporting Missed or Invalid Data
  • To Regularly review datasets for omissions or invalid entries and flag them for review.​
  • To Prepare detailed reports on the frequency and types of errors for managerial oversight.​
  • To Communicate findings effectively with relevant teams or departments to address data gaps.​
  • To Maintain a log of errors and corrective actions taken for auditing purposes.​
  • To Report the infrastructure limitations or issues that could affect the data quality or delay the reported records.​
Communication
  • To communicate with all colleagues with respect.​
  • To follow the effective communication skills needed, listening to colleagues complain. Provide clear answers or refer the inquiry to the person in charge for his needs.​
  • To Attend all requested meetings with the supervisor, including regular and on-demand meetings.​

Education

Diploma of Medical Secretary, Business Administration, or Information Technology.

Experience

- At least one year of experience in Medical INGO

Two years of experience in medical records management, Biostatistics, or Health information management.

Languages

Fluent both Arabic and English.

Knowledge

• Basic skills in Statistics and data management,

• Able to learn and use software used for recording (i.e. Praxis, DHIS2, Bahmni, etc.)

Advanced Skills in MS Applications (Word, Excel).
